Define what you are buying
State the product, intended use, quantity and essential specifications. For a spare part, include its reference number and photographs; for equipment, provide a technical brief. If alternatives are acceptable, identify the parameters that must remain unchanged.
Compare an equivalent scope
A price without a defined scope says little about the total project cost. Clarify accessories, packaging, documentation, dispatch and payment terms. Record the currency and offer validity. Account separately for delivery, clearance and applicable mandatory charges.
Agree acceptance before ordering
Decide how order conformity will be checked: a sample, photographs, measurements, testing or inspection. Specify who performs the check, at which stage and what evidence the client receives. Include the final requirements in the specification and contract documents.
